Privacy Information

Scope.

This privacy statement applies to the Web server known as the Graduate School Web Site at the University of New Hampshire, with a home page URL of http://www.gradschool.unh.edu. It also applies to all those sub websites that the Graduate School Web Site hosts (including the Graduate Student Organization, The Preparing Future Faculty and the Graduate Students of Color Web Sites) and any information within the website domain of "http://www.gradschool.unh.edu". These are distinct websites under only one primary IP address, but which are served by the Graduate School Web Site server. This statement does not apply to any other Web servers linked within the Graduate School Web Site at this or any other site.

E-Mail.

If you send us e-mail using an address on one of the the Graduate School Web Site Web pages, we may share that e-mail with other staff members in order to best respond to your inquiry.  Your email may be saved for reference purposes, if required, otherwise it will be deleted on a regular basis.  Any email received, whether saved or not, will only be shared with UNH personnel that have a need to read or review this email.  Email sent with attachments is automatically deleted unless previous arrangements have been made with our office.

Server Logs.

We keep typical Web server logs for the Graduate School Web Site that include:

  • URL from which request received.

  • date and time stamp.

  • URL requested.

  • file sent.

  • browser used.

In the case of search forms, our logs will include the search string that was entered. Errors are also logged. We summarize these logs (normally once per semester) and make special summaries available to the departments, offices, and organizations that have information from their area that exists on the Graduate School Web Site. These summaries do not retain a linkage between requesting URL and name of file requested, but they do show frequency of requests for Web pages by URL, by time, whether within the unh.edu domain, by country of origin, etc.  After the summary is made the detail is deleted from disk, though it may exist in our cycle of tape backups for a longer period.

Cookies.

A Web cookie is text information that a Web server page can instruct your browser to write to your browser's cookie file. Many Web sites use cookies to track usage patterns on their site on a page by page basis. The cookie is anonymous unless you give the remote Web site personal information that may be associated with a cookie. At this time none of the Graduate School Web Site pages use cookies. If you wish to control cookies you need to use a browser (such as current versions of Netscape and Microsoft Internet Explorer) that allows you to control cookie requests received by the browser (always accept, accept on approval, always deny).

Forms.

Some pages use HTML forms, ranging from very simple e-mail forms to more extensive requests for information. Use of any information entered on a form is determined by the information owner of the particular forms page. Some forms are inherently anonymous, while the whole point of others is to enter information about yourself.   All data collected is secured at the highest level of security available to our webserver.

Our primary form for gathering personal data is our material request form where people who wish to request a catalog and/or application be mailed to them are asked to enter their name, address, and what they wish to receive. This data is only used internally at UNH.  The data is stored for recruitment and statistical analysis and could be used for potential follow up mailings relating to a person's interest in the UNH Graduate Office.  Should an individual want this information deleted they should contact our office through email at grad.school@unh.edu and request to have their name removed.

We also have a preapplication form that gathers detailed information on a potential international applicant's academic background.  This data is stored for review purposes only by the departments in which the applicant expresses an interest in.  This data is stored for a limited time before it is purged from the database.  This data, while it is stored, is used for review and statistical analysis purposes only.

The last form that gathers personal information is part of the University of New Hampshire's program review process.  This requests a person's name, current address, phone, email and program taken at UNH.  This form is used to collect data primarily for the Alumni Office contact information updates for their own alumni mailings.  Any questions about the use of this data by the Alumni Office should be directed to that office.

All remaining forms are generic in nature and do not require any personal data to be collected.

If you have questions or doubts you should direct them to the web manager of the Graduate School Web Server at grad.school@unh.edu with a message stating your concern.

Social Security Numbers: The University of New Hampshire is requesting your Social Security number (SSN) for identification purposes.  Your SSN will be used to process your application materials as well as to comply with federal and state reporting requirements regarding students attending the institution.  You must provide your SSN if you are applying for financial aid.  The institution is required by the Internal Revenue Code and other federal laws to report names and SSNs of students who receive financial aid.  The institution will not disclose an applicant's SSN to anyone outside the institution except as mandated by law or institutional policy.

The Graduate School Web Server and its related sub websites fall under all the policies and regulations for running a web server at the University of New Hampshire, as part of the unh.edu domain.  Any updated changes not reflected on our site, discrepancies between the Graduate School Webserver policies and guidelines and the UNHINFO Webserver policies and guidelines, or any missing Web Server policies and guidelines for the Graduate School Web Server, will always be governed and superseded by the official UNHINFO University policies and guidelines.
